1 The Mindset Shift

If you can dream it, it exists now. The bottleneck isn't the tech, it's knowing what to ask for. If you're not techy, have someone on your team who is.

2 The Starter Stack / four tools to begin with
ChatGPT / Claude / XAI FREE TIER
Clinical questions, patient explanations, and first drafts of almost anything.
Claude Design

Currently verifies MDs, NPs, PAs, pharmacists, and psychologists. DCs: sign up with your NPI and see if you qualify.
Zapier + Agents (Open Claw)
The glue and the muscle. Automates background tasks and takes actions on your computer.
3 Real Use Cases From My Office
Websites
Built with Claude Design. No dev, no agency, no monthly retainer.
Marketing visuals
Posters, social posts, and office layout concepts, all on brand.
Clinical Q&A
A fast second opinion and patient-friendly explanations on demand.
Custom quotes & photos app
Pulls my online content into one usable feed.
Patient conversation recall

4 Agents / this year's real game-changer

A chat model answers questions. An agent takes action. It can work through your documents, draft and send a text, or add something to your calendar. It takes a little more to set up, and it is where the biggest jump in usefulness is happening right now.

It acts, not just answers
Reads and sorts documents, sends messages, and runs multi-step tasks for you. You can even kick one off from your phone.
Match the model to the task
You pay for usage, so route it. Not every job needs the most powerful model. Send quick tasks to cheaper, faster ones and save the deep thinking for what earns it.
Handle with care
This is the gray area. More access means more power, and more room to go wrong. Start small, stay in the loop, and never hand over what you can't double-check.
Connecting your calendar or inbox takes a little trust. Hand over the keys gradually, and watch what an agent does before you let it run on its own.
5 Smart Prompting / give it context, not just instructions
Build a Master File
  • One document with your facts: services, hours, address, phone, and booking link.
  • Examples of your brand voice and how you actually talk to patients.
  • Your rules: what to always do, and what to never say.
  • Paste in your whole website so it has every detail straight.
  • Feed it the same file every time, so what it makes is accurate and on brand (OR BUILD A GPT)
HOW TO SOUND MORE NATURAL
  • Paste samples of your own writing and say "match this voice."
  • Give it feedback - it remembers your preferences.
  • Name the audience, the length, and the reading level.
  • Use voice to speak and give it plenty direction so it understands what you want. More info the better. Doesn't have to be smooth.
  • Treat the first output as a rough draft, usually not the finished piece.
Scrub these AI tells Em dashes everywhere · "it's not just X, it's Y" · "delve," "tapestry," "navigate the landscape" · tired metaphors · the same three-item list every time · "in today's fast-paced world..."
6 Clinical Use, Done Safely
  • Never paste identifiable patient info into public models — no names, DOBs, MRNs, or face photos. Free tiers are not HIPAA-compliant.
  • Run a model locally for sensitive work. Tools like Ollama or LM Studio keep everything on your own computer, so nothing leaves the building.
  • De-identify first: "45yo, chronic low-back pain, L4–L5 bulge." Same clinical value, none of the risk.
  • It is a second opinion, not a diagnosis. You are the provider, so verify before you act.
  • Spot-check confident answers. A model can be wrong with total confidence.
